POLICY QUESTION:
Does city council support entering into a four- year lease with Pacific Office Automation for one staff copier and two coin-operated copiers for Bemis Public Library?
BACKGROUND:
Bemis Public Library provides coin-operated copiers for use by the public, and an additional copier for use by the staff. The current copier lease expires in September 2015. Under the requirements of city code, council must approve any equipment leases with a duration greater than one year.
STAFF ANALYSIS:
The library staff, working with the information services and finance departments, requested proposals, including a list of specific needs and requirements, for multi-year copier leases from four vendors. Based on information gathered from site visits and the evaluation of the four bids, staff recommends entering into a four-year lease with Pacific Office Automation to provide one Konica c654e staff copier and two coin-operated Konica c224e public copiers.
FISCAL IMPACTS:
Under the terms of the lease, the city will pay $490.82 per month for 48 months for the three copiers.
STAFF RECOMMENDATION:
Staff recommends approval.
